Employee Relations Specialist

Job Description

Job Purpose

To provide a high level of professional employee relations services and consultation to academic and non-academic
staff at the University of Sharjah in terms of employment activities, employee relations and entitled allowances, as per
the Human Resources Department’s regulations, bylaws and procedures.

Key Responsibilities

1. Assist the line manager in creating, developing and implementing the Employee Relations Unit’s procedures by
monitoring the process and ensuring its compliance with the Human Resources Department and University goals and
strategic objectives.
2. Be the main point of contact for academic and non-academic staff members under the designated
college/department, and coordinate and communicate effectively with internal and external colleagues in order
to complete work tasks, answer questions and provide assistance related to HR.
3. Manage and process all types of leaves for academic/non-academic staff (such as annual, maternity, unpaid leave,
compensation leave, escort leave, short and long sick leaves, etc.) and ensure that return from leave requests are
submitted on time online and/or manually after comparing them with the Attendance system.
4. Handle the contract renewal process, including communicating with line managers to obtain their renewal
decisions, produce renewal letters, attach required documents (e.g. performance appraisal score), and complete
the renewal process on the HR LOGOS system.
5. Support the integration and mobilization of newly joined employees in coordination with the Talent Acquisition
and Talent Management teams and carry out any necessary actions.
6. Keep track of employees who are about to complete their probation period, and ensure that the line manager
completes their evaluation and status confirmation.
7. Handle and process all types of employee benefits and allowances on HR LOGOS such as promotions, annual
tickets, special awards/allowances, annual increments, transportation allowance, overtime requests, health
insurance, etc.
8. Process all transfer and change requests on HR LOGOS such as transfer decisions, job title changes, marital
status, educational degree, etc.).
9. Train, coach and provide technical/practical expertise to new employees in any related processes to ensure they
acknowledge and understand their responsibilities and tasks.
10. Issue salary certificates (To Whom It May Concern) for academic/non-academic staff, and ensure they are
prepared and signed accurately and in a timely fashion.
11. Process Business Mission requests through the HR online application and ensure that all requests are completed
correctly as per University’s Business Mission entitlements.
12. Proactively and effectively participate in the HR quality assurance management process, which entails that each
team member is responsible for conducting a thorough review of other team members’ deliverables before being
issued or submitted in a final format.
13. Manage the attendance system including creating new accounts, fingerprint registration for new joiners,
attendance schedules, shift adjustments, inserting learning days, etc. As well as Address fingerprint technical
issues and fingerprint rescans using the designated system/software.
14. Monitor attendance records for professional staff members on a monthly basis and report violations including
late/early in/out and absent days. As well as apply the disciplinary actions related to attendance and punctuality
according to the University’s disciplinary code.
15. Follow up the online and manual clearance process for end of service for academic/non-academic staff using the
designated system and follow up with the concerned colleges and departments when needed.
16. Provide the necessary assistance and support to the Head of E.E. and other team members in ensuring the
Employee Engagement section’s KPIs are achieved successfully by gathering the necessary data, preparing
progress reports and ensuring that the necessary action plans have been fulfilled successfully.
17. Follow the University of Sharjah’s standards and guidelines, as well as ensure that all staff members understand
and follow the correct policies, procedures and, guidelines, and provide assistance to them when needed.
18. Participate in related projects that help support and improve the department and the University in general, and be
an active member of the project team ensuring that all assigned tasks are completed accurately and on time.
19. Maintain the confidentiality and security of all employee data including personal and financial information. As
well as assist in preparing various reports, analyses and statistics related to the Employee Relations unit when
requested.
20. Complete any other job-related tasks as assigned by the line manager within the expected time limit.

department/college’s strategy in order to support the achievement of the University’s strategic objectives.
2. Make informed decisions when required, take responsibility and understand the accountability of the role.
3. Establish specific goals and areas of focus in consultation with the line manager to help improve the department's
operations.

4.Provide input to enhance the processes and procedures that help implement the relevant best practices.
5.Follow all relevant processes, standard operating procedures, and instructions accurately to ensure that job tasks are
carried out in a controlled and consistent manner.
6. Provide any necessary support to the line manager and other team members.
Systems, Processes and Reports
7. Generate relevant reports and ensure that they are prepared timely and accurately, and meet the department’s
requirements and standards.
8. Operate the required software/hardware accurately and effectively

Skills

Qualifications & Experience 

▪ Minimum of bachelor’s degree in Business Administration, Human Resources or a relevant discipline.
▪ A professional Human Resources certification (such as CIPD, SHRM, etc.) or a Master’s degree in a relevant field.
▪ 6-8 years of UAE experience in a similar role, preferably in higher education institutions.
▪ Priority is to UAE Nationals.

Skills & Competencies 

▪ Excellent oral and written communication skills and the ability to prepare professional documents, in both Arabic and
English.
▪ Excellent working knowledge of personal computer applications with an emphasis on MS Office applications such as
Excel, Word, and Teams.
▪ Knowledge of ERP Systems related to HR operations would be an advantage.
▪ Ability to organize and prioritize multiple tasks and produce reports under strict guidelines.
▪ Excellent problem-solving, critical thinking, and decision-making skills.
▪ Excellent customer service skills.
▪ Excellent administrative and organizational skills.
▪ Ability to handle confidential information with discretion.
▪ Ability to deal with stressful situations leading to resolution.
▪ High integrity and openness combined with commitment to good governance.
▪ Works as a competent member of the team, willingly providing backup support for co-workers when appropriate and
actively supporting group goals.
