Job Description

+ Report to the Director leading one of the six Company Divisions – Research & Cognitive Solutions, Strategy Success, Special Projects, Strategic Outreach, Talent & Organizational Capabilities, Commercial & Digital Enablement

+ Provide support and administrative assistance in all necessary areas upon the Division Director’s request

+ Be based in Abu Dhabi

+ You will ensure smooth and efficient flow of work and administrative functions. You will respond to your Division Director’s phone calls and provide information to callers or refer calls to relevant employees, and prepare your Division Director’s outgoing calls. You will receive inquiries and clarifications, if any, on behalf of your Division Director, and coordinate with relevant Division employees to provide necessary clarifications.

+ You will coordinate logistics for your Division Director. You will schedule meetings. You will arrange travel dates and bookings. You will prepare files for correspondence and other documents properly

+ You will support content creation for the Division Director. You will record minutes of internal meetings held by the Division Director. You will develop correspondence templates, print materials, prepare envelopes, ensure correct addresses, arrange for delivery, and print materials as per the Division Director’s instructions.

+ You will greet visitors for your Division Director. You will welcome and greet the Division Director’s visitors, inform him/her of their arrival, and ensure proper hospitality and care

Skills

+ Work towards high-quality outcomes. You are comfortable working under pressure and tight deadlines. You have strong accuracy and attention to detail, ensuring no meeting overlaps and no administrative error (e.g. documents printed, Director’s travel dates, etc.).

+ Deal with various tasks in parallel. You are able to manage time, balance multiple tasks and coordinate with different teams at the same time.

+ Engage multiple parties. You build constructive relationships with a diverse set of stakeholders (e.g. visitors, employees, etc.), leveraging your strong communication/networking skills.

+ Show passion for the ECD sector. You are fully committed to improving the well-being and outcomes of Abu Dhabi’s young children and their families.

+ Being an Executive Assistant

We are looking for the following educational qualifications (preferred)—

+ 2-year Diploma or equivalent + Fluency in Arabic and English (written and spoken) + Computer literacy
