Job Description:
•Receive, classify, and register incoming and outgoing documents (hard copy and electronic).
•Maintain a centralized document control system with up-to-date records of all controlled documents.
•Ensure proper filing and archiving of documents in accordance with company policies and legal requirements.
•Monitor document versions, revisions, and approvals to ensure only the latest versions are in circulation.
•Coordinate with HR, Legal, Admin, and other departments to ensure timely document submission, retrieval, and compliance.
•Manage confidential and sensitive information with discretion.
•Support audits by providing required documentation and reports.
•Regularly back up electronic document databases to avoid data loss.
•Continuously improve document control processes for accuracy and efficiency.
Required Knowledge, Skills, and Abilities:
•Familiarity with HR documentation and administrative workflows is preferred.
•Strong organizational skills and attention to detail.
•Proficient in Microsoft Office and document control software (e.g., SharePoint, EDMS).
•Knowledge of ISO standards and data protection practices is a plus.
•Excellent communication and coordination skills
Skills
Education and Experience:
•Diploma or Bachelor’s degree in Business Administration, Records Management, or related field
•At least 5 years of experience in a similar document control role, preferably in a corporate or investment environment
