JOB PURPOSES:
We are seeking a highly organized and proactive Sports Project Coordinator with around 3 years of experience in project coordination and administration. The ideal candidate will support the planning, coordination, and execution of sports projects while ensuring smooth day-to-day administrative operations. This role requires excellent organizational skills, strong attention to detail, and the ability to coordinate effectively with internal teams, clients, coaches, and external stakeholders.
RESPONSIBILITIES:
Project Coordination
•
Coordinate the day-to-day operations of assigned sports projects.
•
Support the Project Manager in planning, implementing, and monitoring project activities.
•
Track project timelines, deliverables, and key milestones to ensure timely completion.
•
Coordinate with internal departments and external stakeholders to ensure smooth project execution.
•
Prepare project schedules, reports, and presentations.
•
Monitor project progress and escalate any issues or delays when necessary.
Administrative Support
•
Maintain accurate project documentation, records, and filing systems.
•
Prepare meeting agendas, take minutes, and follow up on action items.
•
Coordinate employee schedules, attendance records, and project rosters.
•
Assist with onboarding documentation and coordination for new project staff.
•
Prepare letters, reports, and official correspondence.
•
Maintain project databases and ensure all information is up to date.
Communication & Coordination
•
Serve as the main point of contact for project-related administrative matters.
•
Liaise with schools, clients, coaches, suppliers, and internal departments.
•
Coordinate meetings, training sessions, and project events.
•
Ensure timely communication of project updates to all stakeholders.
Reporting & Compliance
•
Prepare weekly and monthly project status reports.
•
Monitor project documentation to ensure compliance with company policies.
•
Assist in maintaining project budgets and tracking operational expenses.
•
Support audits by maintaining accurate project records and documentation.
General Responsibilities
•
Identify opportunities to improve administrative processes and project efficiency.
•
Perform any other duties assigned by the Project Manager or Operations Manager.
WORKING CONDITIONS:
•
Work Environment: Primarily office-based full-time role
•
Physical Requirements: The position involves standard office activities, such as sitting at a desk for extended periods, using a computer, and occasional filing or organizing documents.
Skills
EDUCATION:
•Bachelor's degree in Business Administration, Sports Management, or a related field.
•Previous experience in the sports, events, education, or service industry is an advantage.
WORK EXPERIENCE:
•
Around 3 years of experience in project coordination, administration, or operations, preferred in the Sports industry
KNOWLEDGE
•
Middle East Culture Knowledge
•
High level of English (written and spoken) – Arabic is Preferred

Strong administrative and organizational skills.

•
Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
