Job Description
Job Purpose
To implement and monitor the Performance Management process for administrative staff members at the University
of Sharjah and provide advice to line managers and employees on the procedures necessary to enhance individual
performance. As well as to assist in promoting continuous improvement and constructive feedback between line
managers and their employees
Key Responsibilities
1. Review and understand all relevant policies and procedures in order to be able to carry out daily work tasks as
expected, and answer all stakeholder inquiries, clarifications, or any assistance related to Performance
Management accurately and efficiently.
2. Provide advice and guidance to employees, line managers, and supervisors via phone, email, or individual/group
awareness sessions regarding any related Talent Management processes including performance management
process, identifying learning and development needs, employee/annual development plans, and evaluation
criteria and measurement, in order to ensure they understand their roles and responsibilities on each stage.
3. Assist in initiating all phases of the Performance Management Cycle (PMC) for UOS administrative staff
members including organizing the necessary announcements and awareness sessions, and preparing all the
required documentation and guidelines such as the Performance Management Manual, Behavioral Competencies
Framework, etc.
4. Provide support and assistance to the Head of TM and other team members during the communication process
for all concerned stakeholders to ensure they are fully informed of their roles and responsibilities in each phase
of the PMC through awareness sessions, workshops, meetings, etc. as well as provide the necessary support and
assistance throughout all phases when needed.
5. Review the final performance management assessment results and recommendations to ensure accuracy and
adherence to TM policies and procedures. As well as review and assess the performance improvement plans,
which address any performance cases, make the necessary recommendations if needed and refer all plans to the
Head of TM to proceed with the necessary actions.
6. Review and process all performance grievance requests at different levels (supervisor, reviewer or Human
Recourses Committee) and refer the final decision to the Head of TM to take action accordingly.
7. Assist in the promotions and rewards procedures, which include promotions, acting roles, merit-based increments
and financial awards by receiving and reviewing promotion requests and supporting documents to ensure that all
requests are aligned with UOS’s Promotion and Reward, Succession Planning and Career Path policies and
procedures, and raise any issues to the Sr. Specialist/Specialist.
8. Assist in communicating the final promotion decision to the concerned line manager and employee and ensure
that they have received a copy of the decision and other necessary documents such as the job description of the
new role.
9. Manage the “Performance Management During Probation (mobilization)” activities for new joiners in
coordination with the Performance Management Team, by following up with the concerned line managers after
the employee’s joining date to ensure that objectives have been set and discussed with the new employee.
10. Proactively and effectively participate in the HR quality assurance management process which entails that each
team member is responsible for conducting a thorough review of other team members’ deliverables before being
issued or submitted in a final format.
11. Provide the necessary assistance and support to the line manager and other team members in ensuring the
department/college KPIs are achieved successfully by gathering the necessary data, preparing progress reports
and implementing the necessary action plans.
12. Participate in related projects that help support and improve the department and the University in general, and be
an active member of the project team ensuring that all assigned tasks are completed accurately and on time.
13. Follow all relevant processes, standard operating procedures, and instructions accurately to ensure that job tasks
are carried out in a controlled and consistent manner. As well as assist new employees in understanding the TM
section’s operating procedures.
14. Complete any other job-related tasks as assigned by the line manager within the expected time limit.

4. Generate relevant reports and ensure that they are prepared timely and accurately, and meet the department’s
requirements and standards.

Skills
Qualifications & Experience
▪ Minimum of bachelor’s degree in Business Administration, Human Resources or a relevant discipline.
▪ 4-6 years of UAE experience in a similar role preferably in higher education institutions.
▪ A professional Human Resources certification (such as CIPD, SHRM, etc.) or Master’s Degree in a related field is
a plus.
▪ Priority is to UAE Nationals.
Skills & Competencies
▪ Excellent oral and written communication skills and the ability to prepare professional documents, in both Arabic
and English.
▪ Excellent working knowledge of personal computer applications with an emphasis on MS Office applications such
as Excel, Word, and Teams.
▪ Good understanding of KPIs-based employee appraisal systems and performance assessment tools.
▪ Knowledge of ERP Systems related to HR operations would be an advantage.
▪ Attention to detail.

▪ Good interpersonal skills.
▪ Effective planning, organizational and time management skills.
