Role Purpose: Provide executive, administrative, project coordination, reporting, and task-management support to the Innovations & Digital Health Director. This position is responsible for managing calendars efficiently, monitoring follow-ups, compiling reports, and ensuring transparency of workloads throughout the Innovation and Digital Health division.

         Supports scheduling, reporting, coordination, and follow-up across digital health, innovation, automation, virtual care, patient engagement, AI and platform-related initiatives.

         Helps maintain visibility of priorities, capacity, deadlines, dependencies, and pending actions across the Director’s portfolio.

         Works closely with clinical, operational, ICT, commercial, vendor, and corporate teams to keep actions moving and reporting accurate.

 Key Responsibilities

         Manage the Director’s calendar, meetings, appointments, travel logistics, and priority scheduling.

         Prepare agendas, minutes, action trackers, follow-up logs, and concise meeting summaries.

         Compile weekly and monthly reports, dashboards, presentations, and executive status updates.

         Provide project coordination support by tracking milestones, owners, dependencies, timelines, risks, and pending decisions.

         Support time and capacity management by helping prioritize meetings, deadlines, follow-ups, and workload across active initiatives.

         Maintain Monday.com boards, task trackers, project records, shared folders, and document libraries.

         Use Excel formulas, trackers, pivot-style summaries, and basic data checks to support reporting and decision-making.

         Follow up with internal teams, vendors, and stakeholders to close pending actions and escalate delays where needed.

         Support preparation of SteerCo packs, governance updates, decision papers, and presentation materials.

         Use AI office tools, where appropriate, to improve drafting, summarization, meeting notes, reporting, and productivity.

Success Measures

         Director’s schedule is well managed with minimal conflicts and clear prioritization.

         Meeting actions are captured, tracked, followed up, and closed on time.

         Reports, dashboards, and presentations are accurate, timely, concise, and well structured.

         Monday.com boards and task trackers are consistently updated and reliable.

         Project priorities, capacity, deadlines, and overdue actions are visible and escalated early.

         Stakeholders receive clear reminders, follow-ups, and status updates.

         Administrative workload for the Director is reduced and better organized.

Qualifications and Experience

·         Bachelor’s degree or diploma in business administration, office management, or a related field.

·         3–5 years of experience as an Executive Assistant, Administrative Coordinator, Project Coordinator, or similar role.

·         Strong experience with Microsoft Office, especially Outlook, Excel, PowerPoint, Teams, and SharePoint/OneDrive.

·         Experience using Monday.com, ClickUp, Asana, Jira, or similar task-management tools preferred.

·         Healthcare, digital health, innovation, or corporate environment experience is a plus.

·         Exposure to AI-enabled office productivity tools is an advantage.
